Exhibitors can use their exhibitor card to enter Hall A and Hall B from 8:00 a.m. during the days of the fair. For safety reasons, the halls will be closed one hour after the fair closes, at 8:00 pm. The stand must be equipped and staffed with professional personnel during the established opening hours for the entire duration of the fair.

Dismantling times

The dismantling time begins after the end of the event.

On the last day of the event, the exhibition areas may only be cleared or the exhibition goods packed and removed from the exhibition grounds 30 minutes after the end of the event.

Please note that the dismantling work must be completed by 6 p.m. on Monday, 25.11.2024 at the latest, the clearing work must be completed and the stand area must be handed over clean. Any remaining material will be removed and transported away from the trade fair from 7 p.m. on Monday, 25.11.2024, and cleaning costs will be charged to the exhibitor. There will be no charge for the material or any exhibits.

The costs will be charged after the end of the fair as well as in case of extension of the set-up & dismantling times. Charging is per company, per hall and per hour or part thereof plus statutory VAT. Costs for Standfest are to be inquired separately (doctor, company fire department etc.)

Dwell time costs (deposit arrangement) during assembly and disassembly

On Thursday, 21.11.2024, NO RENTAL COSTS will be charged. We ask you, if possible, to take advantage of this set-up date.

As the organizer, we are committed to providing you with a smooth setup and the opportunity to unload as close to the halls as possible. Access to the site at a given time is therefore limited to 3 hours. On the last set-up day, Friday, 17.11.2023 and during the trade fair, deliveries are only possible at Gate 1 (Trabrennstraße 5, 1020 Vienna) with the following regulation: At the entrance, each vehicle owner draws a ticket, which is valid for a free dwell time up to max. 3 hours is unlocked for cars or for trucks. All times exceeding this are fixed with dwell time costs of € 100 per day – from 3 hours. These costs are to be paid at the cash desk in front of the exit barrier in cash or by means of cashless payment. The exhibitor parking cards are also activated for parking garage A or parking garage D especially during this time. Parking garage D has an entrance height of 3 meters. We would like to point out that vehicles to be brought to the event must leave the premises before the event begins.

We kindly ask you to take note of the following and the relevant information for your stand and to hand in the necessary findings, certificates or material samples for the official stand acceptance by the Municipal Department (MA 36/V) to the hall manager no later than the LAST DAY OF CONSTRUCTION (9 AM).

In the case of two-storey stand construction (pole stand), all erected stands, stages, tents and spotlight scaffolding (rigging), an on-site inspection must also be carried out after completion by a civil engineer (or engineering consultant) (based on a static calculation), who must draw up an expert opinion (findings) on the proper and professional construction of the pole stand. Regarding the stand construction and superstructures, we require a company-signed confirmation from the erecting company that the stand has been erected by skilled personnel and with original connecting parts and fasteners, thus in a proper and professional manner (e.g. riggings, stand construction systems, spotlights, loudspeakers, etc.). Forms are available from the hall master!

Open fire (burning candles etc.) and the use of liquid gas at the exhibition stand are not permitted without approval!

Please note: All deficiencies identified during the official stand inspection must be rectified before the start of the event (first day before visitors are admitted). All findings and certificates missing during the inspection must be submitted later and must be available for inspection (follow-up inspection by the authorities) at the hall master’s office before the start of the first day of the event. If you have any questions, please do not hesitate to contact our hall master.

We would like to point out that the disposal of all packaging and stand construction materials (these are mainly disposable carpets, chipboard, etc.) that are produced during the construction and dismantling of your trade fair stand must be carried out by yourself or by the contracted stand construction company or supplier, without exception. We request that you inform all those involved in the planning of the trade fair in your company of this, as in the event of non-compliance we will unfortunately be forced to commission an external waste disposal service and charge you for the costs incurred for waste disposal. In view of the enormous costs for waste disposal and landfill, we feel compelled to take this necessary measure in the interest of all exhibitors and hope for your understanding and active assistance.

According to the current legal situation, there is a general ban on smoking within enclosed, publicly accessible spaces. This law is thus also fully applicable at Messe Wien. This means that on the entire covered premises, smoking is permitted to all persons without exception only in the designated outdoor smoking areas. At Messe Wien, these designated zones are usually located next to the transitions between the mall and the exhibition halls. The areas in front of the main entrances are not smoking areas! It is also expressly stated that smoking is not permitted on the exhibition stands, without exception.

In case of violation, the law provides for charges and severe fines for the polluter! We ask you to consistently comply with this clear legal provision, also in terms of non-smoker protection.

Fulfillment of the basic tax requirements for participation in trade fairs in Austria for exhibitors from abroad:
Exhibitors who, at the time of the trade fair, have neither their place of residence or company headquarters, nor a habitual abode, nor a permanent establishment in Austria, and who make sales in Austria that do not result in the transfer of tax liability (i.e. in particular domestic deliveries, other services to private individuals), are obliged to register with the Graz City Tax Office and to submit advance sales tax returns and annual sales tax returns.

For this they need a UID no. (= sales tax identification number), to be applied for as follows:

  • Form Verf19 (German) or Verf19E (English): Questionnaire for issuing a tax number/UID number, which must subsequently be indicated on all letters addressed to the tax office.
  • Copy of the extract from the Commercial Register (“Gewerbeschein”) or the Articles of Association in the case of corporations.

Activities at the booth
Stand promotion must be reported to the exhibition team in writing. Please understand that these will only be approved without exception if: the activity is located within the stand and not at the stand boundary, sufficient space can be demonstrated within the stand for the expected number of spectators/participants, the sound is emitted into the interior of the stand and is not radiated in the direction of the stand boundary, the maximum noise level at the stand boundary must not exceed 70 dB(A), the neighboring stands are neither visually nor acoustically disturbed, the planned activities are reported in good time no later than three weeks before the start of the event, including a precise sketch and a detailed description of the procedure.

Distribution of promotional materials, retail sales, samples of goods.
Printed matter and advertising materials may only be distributed within the assigned stand. Advertising activities outside the stand are subject to charges and approval and are permitted without exception only in the foyers, passages and in the outdoor area. Surveys by external companies are not permitted in the exhibition center. Any sale of goods or services in return for payment by the exhibitor or third parties attributable to the exhibitor in the exhibition center, even if payment for the goods or services is not made during the exhibition but at a later date, is prohibited without the express written permission of the organizer.

Violation of this prohibition of sale without authorization obligates the exhibitor to compensate the organizer for all costs, fees and taxes incurred or prescribed by the organizer and causally related to the violation, regardless of fault. In the event of a breach by more than one exhibitor, such exhibitors shall be jointly and severally liable for said costs, fees as well as taxes. The distribution of samples against payment is subject to approval by the organizer. The free distribution of samples is permitted.

Receptions and parties at the stand
Activities after general trade fair opening hours require approval and must be reported in writing to the trade fair team.
The resulting costs (personnel, electricity, etc., see set-up times, contributions for extensions) will be charged to you. Your guests must have a valid admission ticket or vouchers. We cannot accept invitations that also entitle you to admission. Of course, we are also happy to put our club premises at your disposal. The trade fair team will be happy to advise you on conditions and prices.
